This policy explains how PDS Painting Birmingham uses personal information when you contact us, ask for a quote or have work done, and what happens when you visit this website. We are the data controller for that information under UK data protection law (the UK GDPR and the Data Protection Act 2018).

What Personal Data We Collect
This website is a static site. It has no contact form, no customer accounts and no way of collecting your details on the page itself. We only receive personal information when you choose to phone us, or when we work for you.
That information can include:
- Enquiry details from your phone call: your name, phone number, address or postcode and a description of the job.
- Quote and job details: the address of the property, access and parking notes, the rooms and surfaces involved, and colour and finish choices.
- Records of our contact with you: notes of phone calls and answerphone messages about your enquiry or job.
- Invoice and payment records: what was invoiced, what was paid and when.
- Photos we take of our work at your property (see below).
We do not ask for, and do not need, sensitive information such as health details.
How and Why We Use It
We only use your information for the purposes below. UK data protection law requires a lawful basis for each one.
| Purpose | Data | Lawful basis |
|---|---|---|
| Replying to your enquiry, arranging a visit and writing your quote | Enquiry details, notes of calls | Steps taken at your request before entering into a contract |
| Carrying out the job and keeping you updated | Quote and job details, contact details | Performance of a contract |
| Invoicing and keeping tax and accounting records | Invoice and payment records, name and address | Legal obligation |
| Photographing our work for our records | Job photos | Legitimate interests (keeping an accurate record of the work done) |
| Showing job photos on this website or our Google profile | Job photos, area and month of the job | Your consent |
| Asking for a review after the job | Name and contact details | Legitimate interests (finding out how the job went) |
| Dealing with complaints or legal claims | Any relevant records of the job | Legitimate interests |
We will not send you marketing unless you have agreed to receive them, and you can change your mind at any time.
Photos of Your Property
We take photos of our recent work as a record of each job, and some may appear on this website or on our Google Business Profile. We only publish a photo of your property with your permission.
When we take photos, we keep house numbers, faces, car registrations and personal belongings out of shot, and we tag published photos only with the general area, the service and the month - never your address. If you change your mind, ask us and we will remove a photo of your property from our website and Google profile.
Who We Share It With
We do not sell your personal information, and we do not share it with anyone for their own marketing.
We share it only where we need to, with:
- Painters working on your job, so they know where to go and what to do.
- Our phone service provider, which carries our calls and stores answerphone messages.
- Our accountant, for preparing accounts and tax returns.
- Our bank, when you make or receive a payment.
- HMRC and other authorities, where the law requires it.
- Our insurers or professional advisers, if needed to deal with a claim or dispute.
Some of our technology providers may store data on servers outside the UK. Where that happens, we rely on the safeguards UK law requires for those transfers.
How Long We Keep It
We keep personal information only as long as we need it to provide the service and to meet our legal and tax record-keeping obligations.
In practice, that means enquiries that do not go ahead are not kept longer than needed to deal with them, while customer, job and financial records are kept for as long as the law and our accountant require. When we no longer need information, we delete it or dispose of it securely.
Cookies and Website Analytics
This website does not set any cookies of its own. It does not use Google Analytics or any other analytics, advertising or tracking scripts, and it does not build a profile of your visit.
Google Maps. The footer of each page includes an embedded Google Map showing where we are. When that map loads, your browser connects to Google, which receives your IP address and other standard technical information and may set its own cookies. Google is responsible for that data under its own privacy policy, which you can read at policies.google.com/privacy. You can block third-party cookies in your browser settings without affecting the rest of this site.
Hosting. Like any website, the servers that deliver these pages process your IP address and basic technical details so the site can load and stay secure.
Your Rights
Under UK data protection law you have the right to:
- Access the personal information we hold about you and get a copy of it.
- Rectification - ask us to correct information that is wrong or incomplete.
- Erasure - ask us to delete your information where we no longer have a good reason to keep it.
- Restriction - ask us to limit how we use your information while a concern is looked into.
- Object to our use of your information where we rely on legitimate interests.
- Data portability - ask for information you gave us in a format you can pass to someone else, where this applies.
- Withdraw consent at any time where we rely on your consent, for example to show a photo of your property.
To use any of these rights, call us on 0121 752 9229 or write to us at the address above. We may need to confirm who you are before acting on a request. We will respond within one month, and tell you if we need longer for a complex request. There is normally no charge.
